1. Who We Are

This Privacy Policy explains how Raum Pilates LLC dba Raum Pilates ("Raum Pilates," "we," "us," or "our") collects, uses, shares, and protects personal information when you visit raumpilates.com, create an account, book and attend sessions at our studio at 120 Sylvan Ave #104, Englewood Cliffs, NJ 07632, or communicate with us. It should be read together with our Terms & Conditions.

2. Information We Collect

• Account and profile information: your name, email address, phone number, date of birth, the goal you choose for your practice, preferred language, and notification preferences. Your password is handled by our sign-in provider; we never see or store it in plain text.
• Contact information: your phone number and email address.
• Booking and attendance information: the sessions and classes you book, reschedule, or cancel, check-ins, attendance and no-show records, waitlist entries, packages and remaining sessions, cancellation exception requests, and friends you connect with for shared bookings.
• Health and session notes: information you choose to share about injuries, pregnancy, or other conditions, and notes our instructors keep so your sessions are safe and appropriate.
• Payment information: the amount, date, method, and status of your purchases and refunds. Card payments are processed by our payment processor; we do not receive or store your full card number. Cash and other in-person payments are recorded by our staff.
• Communications: messages you send us through the website chat assistant, by email, by phone, or through messaging apps, and records of the emails, notifications, and text messages we send you, including whether each promotional email was delivered, bounced, or marked as spam.
• SMS consent records: when you opt in to or out of text messages, we record the phone number, which kind of texts (booking or promotional), whether you opted in or out, the exact consent wording you were shown, how you did it (sign-up form, account settings, or a text keyword such as STOP), the date and time, and the IP address and browser user agent used.
• Push notification subscriptions: if you allow notifications on a device, the browser push subscription needed to deliver them to that device.
• Website usage, cookies, and similar technologies: we use Google Analytics, which sets cookies, to understand how visitors use our website, such as pages viewed, buttons clicked, device and browser type, and approximate location. We also store small items in your browser's local storage to keep you signed in and remember your choices.

3. How We Use Information

• To create and manage your account and sign you in.
• To schedule, confirm, remind you about, and manage your bookings, waitlist spots, and packages.
• To process payments, issue receipts, and keep accounting records.
• To keep your sessions safe and suited to you, using the health information you share.
• To send the emails, push notifications, and text messages you have chosen, and to keep records of your text message consent.
• If you opt in to promotional messages, to tailor them to you, for example a birthday message based on your date of birth or an offer based on your past visits and packages.
• To answer your questions, including through our website chat assistant.
• To understand and improve our website and services.
• To comply with the law, enforce our Terms & Conditions, and protect our clients, staff, and studio.

4. Text Messages (SMS)

If you opt in, we send text messages through Raum Pilates Texts, as described in the SMS Terms section of our Terms & Conditions. Booking texts (confirmations, reminders, schedule changes, and package updates) and promotional texts (such as offers, open spots in classes, birthday messages, and review requests, up to 4 messages per month) each need their own consent. Creating an account does not opt you in, and consent is not a condition of purchase. Message frequency for booking texts varies. Message and data rates may apply. Reply HELP for help or STOP to opt out at any time, or change your choices in your account's notification settings.

We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes.

Your phone number and SMS consent records are used by our SMS delivery provider only to send our messages to you. Text messaging opt-in data and consent are never shared with third parties or affiliates for their own marketing or promotional purposes.

5. How We Share Information

We do not sell your personal information. We share it only with service providers that help us run the studio, and only so they can provide their services to us:

• Hosting and database: providers that host our website, servers, and database, and that manage account sign-in.
• Payment processing: a payment processor that handles online card payments.
• SMS delivery: a messaging provider that delivers our text messages.
• Email delivery: a provider that sends our account, booking, and receipt emails, and our promotional email campaigns.
• Push notifications: the browser and device push services that deliver notifications you have allowed.
• Analytics: a web analytics provider (Google Analytics) that helps us understand how our website is used.
• AI assistance: AI service providers that power our website chat assistant.

We may also disclose information when the law requires it, to protect the rights and safety of our clients, staff, or studio, or as part of a sale or transfer of our business.

6. Data Retention

We keep your account and profile information while your account is active. We keep booking, attendance, and payment records for as long as we need them for studio, accounting, tax, and legal purposes. We keep SMS consent records, including opt-outs, for at least four years after your most recent text message choice, so we can show consent and continue honoring opt-outs. When we no longer need information, we delete it or remove the details that identify you.

7. Your Choices and Rights

• Update your information: you can update your profile in your account at any time.
• Notification choices: you can turn emails, push notifications, and text messages on or off in your account's notification settings. You can also reply STOP to any text to stop receiving texts.
• Promotional emails: every promotional email includes an unsubscribe link. If you unsubscribe, or an email to you bounces or is marked as spam, we keep that email address on a do-not-email list so we can keep honoring your choice.
• Access, correction, and deletion: you can ask us for a copy of your personal information, or ask us to correct or delete it, by contacting us below. Some records, such as payment and SMS consent records, may need to be kept to meet our legal obligations.
• Cookies: you can block or delete cookies in your browser settings, and you can opt out of Google Analytics with Google's browser add-on.

Depending on where you live, you may have additional rights under applicable law. We will respond to requests as required by that law.

8. Children

Our website is not directed to children under 13, and we do not knowingly collect personal information online from children under 13. Clients under 18 take part with the consent of a parent or legal guardian.

9. Security

We use reasonable safeguards to protect your information, including encrypted connections to our website and limiting staff access to what each role needs. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated "Last Updated" date.
